[*] Scope of Service:

(1) Vendor needs to provide Microsoft 365 migration services.
1. A thorough pre-migration assessment to identify any potential risks or issues that might arise during the migration.
2. Migrating all user accounts, email data, contacts, and calendars from Google Workspace to Microsoft 365.
3. Ensure any shared calendar permissions, delegate settings, or shared mailbox settings in Google Workspace are retained or appropriately reconfigured in Microsoft 365.
4. Address potential email filtering differences between Google Workspace and Microsoft 365, as well as any necessary configurations to retain or establish desired filtering rules.
5. Transferring documents, files, and folders from Google Drive to Microsoft OneDrive and SharePoint Online.
6. Migrate Google Shared Drives content and the specific permissions associated with it.
7. Migrate Google Forms and Google Sites data in Microsoft 365.
8. Migrate version histories if possible for documents or at minimum the most recent versions migrated to Microsoft 365.
9. Active Directory integration with Organizational chart
10. Configuring Microsoft Teams to enable seamless collaboration and communication for our employees.
11. Integrating Microsoft 365 applications with existing systems and tools where required.
12. Discontinue Google Workspace, upon successful migration.
13. After the migration, engage in a review phase to discuss opportunities to adjust and optimize the licensing based on actual usage and needs.
14. Specify a time period for post-migration support to address any issues or questions that arise after the migration. This might include troubleshooting, adjustments, or additional training sessions
15. If agency is subject to any specific industry regulations or compliance standards, the migration process should take these into account, and Consultants should demonstrate experience or familiarity with these standards.
16. Clarify policies and procedures regarding any archived data. Is the data to be migrated, retained, or purged?
17. Implement a feedback mechanism for employees to report issues or provide input during and after the migration. This feedback can be invaluable for addressing concerns and improving the transition process.
18. Set up a sandbox environment to test the migration process on a smaller scale.
