Vendor needs to provide SharePoint Intranet Services Following are some examples of relevant content types
• News Article - Text with possible inline photos or videos and links. Photo to be featured on the front page. One or more file attachments. Related content items. Link to related case file or documents in the case handling system. Likes and comments
• Internal Information Article - Much like a news article, but not meant to be shown on the front page.
• Internal Working Documents - Documents, generally at the department level that may be worked on by one or more staff members in an effort to complete a project or a finalized document that will then be published to a City-wide library.
• Important Alert – Short message to be shown on the front page in exceptional circumstances and for a limited time (e.g. regarding building or IT issues).
• Calendar Event – Information about seminars or important meetings, showing start and end time/date, title, description (possibly with a link) and venue. Should receive event details from Outlook. Likes and comments.
To fine-tune the organization of content items, and to help linking related information together, it should be possible to add one or more tags to each content item. The number of tags associated with an item should in principle be unlimited. It should also be possible for the creator of a new content item to create new tags on the fly.
Home Page layout will need to be structured with assistance from the vendor. It should be structured in a way that at the completion of the project the Home Page elements can be modified, changed and maintained by City Staff. Desired Home Page features:
• News Feed – Ability to display one or more News categories from various Departments/Divisions as appropriate. Flexible to add or remove categories.
• Social Media Feed(s) – Ability to pull in social media feeds from major platforms like Facebook, Twitter, Instagram.
• Random Employee Spotlight – Highlight employees randomly pulling from employees’ profile.
• Help Ticket Mini Form – Tie into our support software, ServiceNow ITSM.
• Insert video from most recent Council Meeting.
• Video Highlight Area – Ability to add videos via upload or by embedding from external sites like YouTube.
• News/Important Info Highlight Area – Container area that will allow images or text with the ability to link out to internal SharePoint sites or external sites
• Calendar – Calendar categories by Department or Type. Ability to display multiple calendars within one container.
There will need to be pages created that are non-departmental, including:
• Full organizational chart which should be dynamically created and pull in headshots from AD.
• Staff Listing & Search
• Elected Appointed Officials from Council, Committee’s & Boards.
• Organizational Calendar
